Connecting Your Shopify Store

Last updated on Oct 26, 2026

The Shopify integration connects your Shopify store to Controlata. Sales orders from Shopify come into Controlata automatically, and Controlata sends product stock levels back to your Shopify locations.

What the Integration Does

From Shopify to Controlata

  • New orders are created in Controlata as sales with the prefix "S-", together with their customers
  • Order changes in Shopify, such as edited items or payment, update the sale in Controlata. A fully refunded order is canceled.
  • Deleted orders are deleted in Controlata too

From Controlata to Shopify

  • Stock levels: when a product's stock changes in Controlata, the available quantity is updated at the matching Shopify location

Installing the App

  1. Find Controlata in the Shopify App Store and click Install.
  2. Review the permissions Controlata needs and approve them.
  3. Controlata opens in a new tab:
    • If you don't have a Controlata account yet, it is created from your store's name, owner name and email, and you are signed in right away. New accounts start with a 14-day free trial.
    • If you are already signed in to Controlata, the store is connected to your current account.
    • If your store's email already has a Controlata account, sign in to it, and the store is connected to that account.
  4. The Connect setup wizard opens. Go through its steps, described below.

An account created from Shopify has no password. Open Controlata from your Shopify admin (Apps → Controlata) to sign in, or set a password with Forgot password on the sign-in page.

One Controlata account can be connected to one Shopify store.

Setting Up the Connection

Step 1: Locations

Map each Shopify location to a Controlata storage location. Sales orders use the mapped storage location, and stock levels are sent to the mapped Shopify location.

Choose Not mapped for a Shopify location you don't want to sync. You can also create a new storage location right from this step.

Step 2: Import

  • Import products from Shopify: each variant with a SKU becomes a product in Controlata, with its price, cost and stock level. Variants without a SKU, SKUs that already exist in Controlata and products over your plan's limit are skipped.
  • Import unfulfilled orders from the last 60 days: open orders are created as sales, so their stock is reserved from the start. Orders that are already fulfilled or partly fulfilled are skipped, and partly fulfilled ones are listed so you can enter them by hand.

Both imports are optional, and the import runs once. After the import, new orders come in on their own.

Step 3: Settings

  • Sale number prefix: added to the Shopify order number, "S-" by default. For example, Shopify order 1001 becomes sale "S-1001".
  • Default fulfillment method for new sales: From inventory or Made to order.
  • Default storage location for new sales: used when Shopify hasn't assigned a location to the order yet.
  • Send product stock levels to Shopify: turn it on to update stock in Shopify from Controlata. Only changes made after you turn it on are sent.

Important: turn on stock sync once your stock levels in Controlata are correct. From then on, Controlata overwrites the available quantity in Shopify for every product it sends.

Step 4: Done

The store is connected. You can change these settings later in Settings → Integrations → Shopify.

Product Matching

Products are matched between Shopify and Controlata by SKU.

  • Keep the same SKUs in both systems. If you imported products from Shopify, they already match.
  • You can add Alternative SKUs to a product in Controlata if the same product has a different SKU in Shopify.
  • If an item from a Shopify order isn't found in Controlata, the sale is created without it, and the item is added to the sale's Notes. No product is created automatically.
  • If none of the order's items are found, the sale is not created.

Storage Locations of Sales

Each sale uses the storage location mapped to the Shopify location that fulfills the order. Until Shopify assigns a location to the order, Controlata uses the Default storage location for new sales and moves the sale once the location is known.

This applies to sales with the From inventory fulfillment method.

Stock Sync

When Send product stock levels to Shopify is on, Controlata sends the available quantity to Shopify every time a product's stock changes: after a purchase, a production, a write-off, a sale or any other operation.

  • The available quantity is the stock level minus what is reserved for open sales.
  • Stock is sent only to Shopify locations mapped to a Controlata storage location.

Billing

If your Controlata account was created from Shopify, you pay for Controlata through Shopify, on your Shopify invoice.

  1. Open Settings → Plan & billing.
  2. Click Select a plan. Shopify's plan page opens.
  3. Choose a plan and approve the charge in Shopify.

To change or cancel the plan later, click Manage subscription on the same page.

If you connected the store to an existing Controlata account, your billing doesn't change.

Disconnecting the Store

  • Delete the integration in Controlata: open Settings → Integrations → Shopify and delete it. Controlata is also uninstalled from your Shopify store.
  • Uninstall the app in Shopify: sync stops right away. If you install the app again within two days, the connection continues with your settings and location mapping. After that, they are deleted and you set up the connection again.

Sales, customers and products already in Controlata stay in your account.

If you paid through Shopify, your plan stays active until the end of the paid period. After that, you can continue with a card payment in Settings → Plan & billing.
